COVID-19 Photo Shoot & Video Production Policy

How We Are Working During the Coronavirus Pandemic

As a small business owner, I’m writing you today to let you know we take the situation created by COVID-19 very seriously and want to outline what we are doing to protect you, your team, your clients, as well as myself and my team members.  

I understand the current economic situation may impact you in some way and want to offer some flexible terms for your upcoming shoots.


Coronavirus Photo / Video Policy

As of today, we are currently only accepting assignments from commercial and nonprofit clients (e.g., no individuals or groups without a legal business entity)Here are our guidelines:

• Air travel is temporarily suspended but we are willing to drive for jobs within 250 miles of our studio which includes: Ohio (entire state), Northern Kentucky (including Louisville area), Eastern Indiana (including Indianapolis area), Southeastern Michigan (including Detroit and Ann Arbor areas), Western Pennsylvania (including Pittsburgh and Erie areas), Northwestern West Virginia (including Wheeling and Charleston areas).

• No carpooling. Individual crew members and talent will drive separately to the shoot location in their own vehicles.

• Precautions to minimize the number of people on set (such as smaller crew, time reserved for pre-lighting scenes, and other pre-production considerations).

• Temperature check and health screening questionnaire for all on-site personnel. Anyone exhibiting symptoms will be sent home from the production. If an infection is discovered within 14 days after the job we will send an immediate notification and ask that all parties involved in the production agree to the same.    

• All hands washed & sanitized upon arrival to set and then frequently throughout the day.

• Follow strict physical distancing guidelines of 6' between all persons on set, including photographer and crew.

• No physical contact policy (handshakes, high fives, fistbumps, etc).

• Photographer and crew required to wear face masks and gloves (and other PPE when appropriate) at all times. Talent (actors/models) must wear PPE between scenes. 

• Disposable footwear coverings will be provided for all in-studio and interior shoots.

• All equipment shall be wiped down with an antibacterial cleaning agent prior to use.

• Delineation of duties between crew members so that specific equipment is only handled by one person.

• Group photos will be created by using digital compositing methods in post-production. 

• Digital technology solutions will be used for remote art direction/ client review from a distance.

• Outdoor shoots are highly encouraged when possible. 

• 24-hour cancellation fee waived if illness occurs.

Flexible Payment Terms

Due to economic uncertainty, we are offering the following terms to reduce your upfront expenses on future photo/ video shoots.

 • 12 Month Interest-Free Payment Plan – You may opt to spread the costs of a production over the next twelve months interest-free. After twelve months, payment is due in full or a 10% finance charge will be incurred on the balance every month.

 • Multi-Day Retainer Packages – If you plan to have multiple shoots over the next year, we can create a custom retainer package and discount all fees by 20% (except travel expenses).

Subscription Package – If you need on-going photography, you can subscribe to a monthly service plan and pay a flat amount each month. The Monthly Subscription Fee ranges from $500 to $5000 depending on the number of shoots and usage. Contact us for further details.
